FutureNet developed its medical dictation and transcription system in 1996.  Since then, hundreds of healthcare organizations have being using our system for medical report creation and management.  FutureNet is now on its third generation of software designed to create and manage patient medical reports.  FutureNet also provides medical transcription outsourcing services for healthcare organizations.  For those who do not have the FutureNet system, but want to take advantage of current technologies, FutureNet's outsourcing services will bring you the total solution without capital investment.

Dictation Capture and Handheld Devices


FutureNet medical transcription outsourcing services use the advantages of the FutureNet iVoice dictation system for dictation capture.

Toll-Free Phone Number for Dictation

To give dictations, physicians only need to dial a toll-free number to access the FutureNet dictation server.  They then follow the prompt instructions and dictate to the iVoice system.

Multiple Dictation Devices

FutureNet dictation input devices include a touch-tone phone, a dictation station with or without a barcode reader, a dictation station with a hands-free microphone, and handheld dictation devices, such as digital recorders, the Pocket PC; and PC-direct dictation.

One of the concerns for physicians switching dictation systems is the need to learn the new workflow for giving dictation.  The FutureNet system can eliminate this issue by emulating the dictation workflow currently used by the potential client.  In this way, physicians do not need to change their dictation habits and do not even notice the change in background aside from the different voice giving them the prompts.

Handheld Dictation Devices

The FutureNet dictation system can be integrated with multiple handheld dictation devices. Physicians needing mobility during dictation can chose handheld dictation devices, such as a digital recorder or Pocket PC, which run on Microsoft Windows CE.  The voice recorded on the handheld devices can be uploaded to the dictation server by placing them on a docking station.

FutureNet provides web-enabled applications for client management staff to access all dictation information by facility, department, or individual user.  The statistical information from the FutureNet system helps our client and user to improve the efficiency of their work.


Transcription Platform


FutureNet provides one of the most technically advanced transcription platforms for its outsourcing transcription services.  The setup of the server is based on a Microsoft Windows operating system and a Microsoft SQL database.  For the client side, most Microsoft Windows  workstations are applicable.

Voice File Encryption and Downloading

After physicians give their dictation, our in-house and remote transcriptionists download the voice files from our dictation servers to their local workstations.  The voice files are encrypted during the transmission to ensure data security.

HL7 Interface, Physician and Patient ADT information

To ensure the quality and reliability of our transcription, the FutureNet system provides an HL7 interface for downloading physician and patient ADT information from the client's health care information system.  Physician and patient ADT information will be updated and passed to all related transcriptionists whenever they log in to the server.

Work Types and Templates

The FutureNet transcription system can store pre-defined work types and associated templates for standard report formats and efficient transcription work.  All physician and patient information from the client's HIS will be automatically filled into the associated fields for the reports.  The report templates can be created based on the client's specific requirements to include not only the organization's information, but also banner, logo, and bar code information.

Quality Assurance and Turnaround Time

The FutureNet system provides an on-screen QA module for our QA staff.  The communication between transcriptionists and QA staff is required for every flagged report, which needs to be checked.  With our experienced transcriptionists and QA staff, plus our sophisticated program, turnaround time can be guaranteed based on the priority level of reports.


Document Distribution


To satisfy the growing need for sophisticated document distribution at client sites, the FutureNet system provides the most comprehensive document distribution methods.  The FutureNet system has standard and advanced document distribution services for clients.  iManager handles most hard copy deliveries and soft copies on the server as the standard document distribution method.  As an advanced option, Web-CPR distributes documents to physicians' desktops with web-enabled, user-friendly, multi-functional applications.

FutureNet provides free servers for outsourcing service clients, for both standard and advanced document distribution.

Batch Printing

One of the basic distribution methods is batch printing patient reports at the client site.  The FutureNet system provides a batch printing function for any of the networked printers at the client's site.  The printing function can be configured to print preliminary reports or signed reports.  The printing work can be distributed to networked printers based on work type, physician, patient, transcriptionist, device, and so on.  The number of copies needed can also be configured on the screen, with titles for each different copy, or with different colors for each different copy.  All batch-printed reports can be sorted in three different layers based on the criteria selected from the configuration screen.  The batch printing process can be scheduled in one or more specific time frames.

Batch Faxing

Another basic distribution method is batch faxing.  With built-in fax capability, the FutureNet system provides automatic batch faxing for reports that need to be faxed to physician offices.  The fax will attempt sending three times if there are any blocks on the machine on the other side, like if the line is busy, the machine is out of paper, or the fax machine is turned off.  The system will log all successful and unsuccessful transmissions for operational information management.

Batch Emailing

FutureNet programmers have considered the increasing need for email distribution.  Our system has the capability to batch email patient reports to different recipients.  Designed like the function of batch faxing, the system will log all successful and unsuccessful transmissions for operational information management.

Batch Uploading to HIS

FutureNet's system provides a batch uploading function to HIS through a HL7 interface.  The documents can be uploaded as preliminary reports or final authenticated reports, depending on our client's policy and procedures for document authentication.  The uploading process can be scheduled and automated.

Web Distribution

Using web applications to deliver patient reports for review, editing, signature, and printing, is now a reality for the FutureNet client. 

Advantages of Web Distribution:

  • It distributes the documents to physician desktops
  • It is thin-client software
  • It is a web application with a user-friendly graphical interface, which minimizes training for users
  • it can be on intranet or Internet, and if it is running on the Internet, physicians can access the document in any place at any time
  • It can be very secure when running with SSL from VeriSign

Electronic Signature and Charting


The FutureNet web distribution system (Web-CPR) goes far beyond just being a document delivery program.  It is a computerized patient record management system.  With Web-CPR, FutureNet provides electronic signature, electronic charting, and even electronic referral modules to meet the growing needs our clients have for computerized patient record management.

One of the major purposes for physicians to access transcribed patient reports is so they can review and authenticate the report for patient care information.  Web-CPR is designed to meet this basic requirement and provides physicians with tools to review, edit, and sign their reports.  After authentication, all patient reports will be available for the ultimate purpose of improving the quality of health care.

Regular Signature

When physicians log in to Web-CPR with their user ID and password, they are able to access all of their dictated reports.  The system will tell the physicians how many reports are waiting for review and signature, and how many are still being processed.  Physicians can easily browse their dictated reports to review, edit, and sign.  For regular signature, one authorized signature is enough for the report authentication.

Co-Signature

In a teaching environment, co-signature is required for resident and attending physicians.  The FutureNet system provides co-sign capability for this and other situations where two signatures are required for the patient report authentication.  In co-sign mode, attending physicians will get the report with a "co-sign" label after a resident or nurse has signed the report.

Proxy Signature

In many situations, dictating physicians are not available to sign a patient report within a specific time frame.  If the health care organization has a policy for proxy signature, other authorized individuals can sign the report with their ID and name to indicate that it is a proxy signature.

Electronic Chart

FutureNet's Web-CPR also provides the charting function that builds up an electronic patient record folder for a specific patient.  All information regarding this patient will be stored in one place.  The chart can be easily accessed by patient name, medical report number, or other index indicators.


Management of Statistical Reports


Healthcare organizations selecting FutureNet's transcription outsourcing services not only get transcribed reports for the office and physicians, but also get series management statistics to verify the services they get from FutureNet.  With these statistics, they can improve control and management when creating patient medical reports.

Built-in Report Writer

The FutureNet system has built-in report writers in its applications.  Clients can setup the criteria for the report they need in terms of items, departments, or physicians involved, and set specific time frames.  They can run the statistics based on these criteria for their daily, weekly, monthly, or yearly reports.  An on-screen report printing function is available.  All reports can be exported to Microsoft Excel for further data analyzing and graphic processing.

Categories of Statistic Reports

Many categories of statistics have been designed in the FutureNet system.  For example, client reports from dictation may be more important than other categories.  By using the FutureNet system, clients can get real-time reports, listing the number of dictations that have been dictated and the number of dictations that are still pending in the system.  They can also view the amount of time each department or individual dictator spends on dictation on a daily, weekly, or monthly basis.  Many of our clients use this information to improve the efficiency of the physician dictations and to reduce the costs of dictation and transcription.  For document statistics, our clients can always verify turnaround time based on work type, physicians, or other criteria.  Clients can verify the information of transcribed documents by volume for a specific number of reports or a specific number of lines in a certain time frame.

Audit Trail for Patient Information Security


For any healthcare organization, the security of patient data is critical and required by HIPAA.  FutureNet is very proud of its HIPAA compliance security mechanism.  We create user IDs, passwords, and six different levels of patient information and data access.  We can flag all confidential reports and employee medical reports.  We can also track all accessing of voice files, documents, and other information transactions.

Audit Trail

FutureNet's audit trails are available through Web-CPR for the client's system administrator, director, or other authorized security officer.  The audit trails can show what was done on a file or the database, who did it, and when and where it was done.  To search the audit trails, you can base the information on user or on the patient.  For example, by inputting the user ID, you can search all accessing activities for this specific user.  By inputting the patient medical record number or name, you can search the way in which all users have accessed this patient information.
